Preserve before interpreting

Create stable scans, retain original filenames and write down the chain of custody before trying to tell a larger story. Basic preservation prevents later interpretation from floating free of the item.

Prioritize provenance

A photograph, name board or document gains value when its source, date, owner and condition are recorded. Uncertainty is useful metadata when it is stated plainly.

Publish a route, not a promise

A preservation page can invite corrections or new evidence without pretending to run a museum, own an artifact or hold a complete collection. The next useful action is usually small: scan, cite, compare, ask permission.

Make a stable first capture

Scan photographs and documents at a preservation quality before editing. Capture backs, envelopes, album pages and labels, because context often lives outside the front image. Keep an untouched master, create smaller access copies and record the equipment, date and operator used for the digitization.

Original filenames can be retained inside a documented intake folder, while archive identifiers provide a stable public reference. Do not rely on a descriptive filename as the only metadata. Names, dates and identifications change; a durable identifier lets the record be corrected without breaking every citation.

Describe custody, condition and uncertainty

For each item, record who holds it, how it reached the collection, its physical condition and any known creator or date. Use a separate field for an attribution that remains uncertain. This small distinction prevents a family guess from becoming embedded in every later caption and search result.

Material objects need the same discipline. A name board, uniform item or piece of equipment may be strongly associated with a ship, but the association should be supported by catalog history, markings or custody. A clear photograph of an artifact is not a substitute for its provenance.

Plan access and survival together

Keep more than one copy, on more than one medium, with at least one copy away from the primary location. Periodically open a sample and compare checksums so a silent failure is found before it affects every copy. A cloud folder alone is convenient access, not a complete preservation plan.

Publication is one form of access, not the archive itself. A web image may be compressed, cropped and stripped of private metadata, while the preservation master remains protected. Rights notes and removal contacts should travel with the public record so a correction does not require reconstructing the decision years later.

A quarterly preservation check can be modest: verify checksums for a sample, open representative image and document formats, confirm that the off-site copy is reachable and review any unresolved rights notes. Record the date and result. This routine is more valuable than a one-time promise that files are safe. It turns preservation into observable maintenance and gives future custodians a record of which copies were actually tested.
